Please read this Privacy Statement (hereinafter referred to as "this Statement") carefully before submitting any personal or private information to Huawei.

WeLink External Meeting is provided by Huawei Technologies Co., Ltd. and its affiliates. This Statement is applicable to the information collected and used by WeLink External Meeting (hereinafter referred to as "this Application" or "We"). Before downloading, installing, or using any bundled third party software for WeMeeting, please read the third party's privacy statement carefully.

1. Personal Information Collected by This Application

To quickly understand how we collect and use your personal information, refer to Personal Information Collected by WeMeeting. 。For details, please see the following description. To provide you with WeMeeting services, we collect some of the information and data generated when you use this Application.

1.1 We collect the information you directly provide to us, such as the nickname entered when joining a meeting through the client or a web link.

1.2 We collect information relating to your device, such as device brand, device model, operating system, unique device identifier (such as Android ID, IMEI, IMSI, OAID, ICCID, GAID, MEID, SN, IDFA, and IDFV), WeMeeting client version number, network access mode and type, and operation log information. This is based on the specific permissions granted by you during the installation and use of our software, and is intended to ensure that you can use our services properly. This type of basic information must be collected in order to provide services. When the network changes, device information and IP addresses are collected.

1.3 We collect the IP address of your device in order to connect you to our servers when using application services. However, please note that we may be unable to offer services in cases where such data is not provided. We collect your network connection status, as well as confirmation that you are authorized to connect to the service and its network.

1.4 You can enable the camera for video meetings and the microphone for audio meetings. When you share your screen (including visuals and audio), you can take screenshots and edit them. However, these can only be saved to the local device, and are not retained by Huawei.

1.5 When you communicate with other users on this Application, your chat information will be securely transmitted. This information is displayed only during the chat and will not be saved to the server.

1.6 If you choose to record a meeting, this Application will record both audio and video, and the recorded information is stored only on your local device. Before recording a meeting, ensure that you have obtained the consent of all attendees. If you are attending a meeting that someone else is recording, you will receive a recording notification. If you do not wish to be recorded, turn off your microphone and camera, or exit the meeting .

1.7 Local access to your clipboard for the meeting ID, password, and link is needed to enable functions and services such as joining a meeting and sharing meeting information. Only commands for joining a meeting or sharing meeting information on the clipboard are identified locally. Your clipboard information will not be uploaded to the server.

1.8 Virtual Backgrounds: You can enable or disable the virtual background function during a meeting. To enable the virtual background function, you need to grant us the camera and storage permissions. The virtual background image you added and video streams captured by the local camera will be combined and displayed to attendees in the meeting.

1.9 Device permission calling: To provide you with better services and ensure the secure and stable running of WeMeeting, we need your authorization to use certain functions of the operating system of your mobile device. If you do not agree to authorize this Application to obtain related permissions, you can still use essential functions provided by WeMeeting, but you may not be able to enjoy additional services.

You can check the permission statuses on your mobile device one by one and choose some or all permissions you want to grant or deny as needed. Even with your authorization, we will collect only the data necessary for the functions or services you are using.

Android/HarmonyOS Permissions

READ_MEDIA_IMAGES Provides access to data in the gallery. For selecting an image to create a virtual background for meetings.
RECORD_AUDIO Uses microphones to record audio. For providing the functions needed for you to release audio and video information.
CAMERA Takes photos, shoots videos, and scans QR codes. For creating a virtual background for video meetings by taking photos.
SYSTEM_ALERT_WINDOW Allows global floating windows. For setting a meeting as a floating window to perform other operations.
BLUETOOTH_SCAN Allows this Application to search for nearby Bluetooth devices. For connecting to Bluetooth headphones during meetings.
BLUETOOTH_CONNECT Allows this Application to connect to Bluetooth devices.
VIBRATE Enables system vibration. For notifying users when they join a meeting successfully.
READ_MEDIA_VIDEO Provides access to media library videos. For selecting an image to create a virtual background for meetings.
POST_NOTIFICATIONS Sends notifications during a meeting (Android 13 or later versions). For allowing this Application to send foreground notifications during a meeting. You can click the notification panel to return to a meeting when this Application is running in the background.
TELEPHONE Invites users to a meeting by making phone calls. Used to invite users to join a meeting by making phone calls.
CLIPBOARD Copies and pastes the content. For copying and pasting content, as well as preventing content from being pasted to the outside of this Application.

3. How This Application Discloses Your Personal Information

In the event that some services are provided by an authorized partner of Huawei, Huawei will share your personal information with the partner as described in this Statement. In addition, as a multinational company, we may share personal data with Huawei affiliates. We may also disclose your personal data to relevant law enforcement agencies or other government agencies when required by applicable laws or in response to legal proceedings. If Huawei is involved in a reorganization, merger, or acquisition or involved in a bankruptcy or liquidation lawsuit in a given jurisdiction, your personal information may also be disclosed to the counterparty. Huawei may also disclose your data when a reasonable need exists; for example, due to contract execution, property loss, or investigation of possible or actual illegal behavior, and when the disclosure is appropriate.

To ensure stable running and functionality of the software, improve user experience, and provide more services and features, we may integrate software development kits (hereinafter referred to as "SDKs") or other similar programs provided by authorized partners into this Application. Before introducing such third-party SDKs, we will carefully evaluate the purposes of use of the third parties and conduct strict security checks on the SDKs or other similar programs. Note that the third-party SDKs may independently collect and process user information related to their services. The data processing behavior should comply their own privacy policies or relevant statements. We do not bear any legal liabilities for any data processing activities of third parties beyond the scope of this Privacy Statement.

We only provide the third-party SDKs with the minimum scope of data access permissions necessary to implement the corresponding features. If you do not use services provided by third-party SDKs, we will not disclose or transmit your personal information to the third-party SDKs.

4. How This Application Protects Your Personal Information

Huawei attaches great importance to the security of personal information. We use appropriate physical, management, and technical measures to protect your personal information from unauthorized access, disclosure, use, modification, damage, or loss. For example, we use cryptographic technologies to ensure data confidentiality; we use trusted protection mechanisms to prevent malicious data attacks; we deploy access control mechanisms to ensure that personal data can only be accessed by authorized personnel; we offer security and privacy protection training courses to raise employees' awareness of personal data protection. While we take the utmost care to your personal information, please note that no security measures are infallible.

5. How This Application Retains Your Personal Information

We will retain your personal data for no longer than is necessary for the purposes stated in this Statement, unless extension of the retention period is required by laws or requested by you. The data retention period may vary depending on the scenario and service. The standards we use to determine the retention period are as follows: (i) the time required to retain personal data to fulfill business purposes, including providing products and services; maintaining corresponding transaction and business records as required by laws; ensuring the security of systems, products, and services; handling possible user queries or complaints and locating problems; (ii) whether the user agrees to a longer retention period; and (iii) whether the laws, contracts, and other equivalents have special requirements for data retention.

Unless otherwise required by laws and regulations, the retention period of your personal data is as follows:

1. Joining a meeting: authentication information (meeting ID, passwords, and links) and participant information (participant names)

2. Real-time audio, video, and desktop sharing during meetings

Retention period: The data is not stored and will be deleted after the meeting ends.

3. Automatic filters: face information

Retention period: The data is not stored and is processed only on your meeting device.

4. Inviting a participant: name, contact information

Retention period: The data is not stored and will be deleted after the meeting ends.

5. Meeting recording information: participant audio and video, shared desktop, shared whiteboard, shared program, meeting topic, scheduler (only for cloud recording), start time (only for cloud recording), recording duration (only for cloud recording), recording size (only for cloud recording), and sharing password (only for cloud recording)

Retention period: No longer than necessary for providing you with the service. Local recordings are stored only on your device. You can determine the retention period.

6. Chat in a meeting: account, text content, and chat records (generated only after being exported)

7. Real-time caption information: Conference audio

Retention period: The data is not stored and is processed only on your meeting device.

Retention period: The data is stored only on your device. You can determine the retention period.

9. Meeting history: start time and end time of a meeting, meeting ID, topic, and meeting attendance records (including the name, department, email address, time of joining and leaving a meeting, number of attendance times, and in-meeting duration of each participant)

Retention period: No longer than necessary for providing you with the service.

10. Proactive feedback (such as meeting issues and reports): contact information, text/image/video, logs (IP address, device information, and software information), meeting ID, name, and account

6. How Your Personal Information Is Transferred Globally

Huawei is a multinational company, which means that your personal information collected by Huawei may be processed or accessed in the country or region where you use our products and services or in other countries or regions where Huawei or its affiliates, subsidiaries, service providers, or business partners have a presence. As data protection laws may differ in these countries and regions, Huawei will take appropriate measures to ensure that data is processed as required by this Statement and any applicable laws. When transferring personal data of the data principal from the EU to a country or region which has not been acknowledged by the EU as having an adequate level of data protection, Huawei will use certain legal mechanisms, such as signing standard contract clauses approved by the EU, obtaining your consent to transfer your personal data, or implementing security measures such as data anonymization before the transfer. 7. How to View and Update Your Personal Data

You should ensure that all personal information submitted is accurate. Huawei is committed to maintaining the accuracy and completeness of your personal information and keeping it up-to-date.

To the extent required by applicable laws, you may have the right to (1) access certain personal information we maintain relating to you, (2) request that we update or correct inaccurate personal information relating to you, (3) reject or restrict our use of your personal information, (4) ask us to delete your personal information from our database. For details on how to exercise these rights, refer to How to Contact Us in this Statement. For security reasons, you may be required to provide a written request. Applicable laws may entitle us to decline or restrict your request in some cases, and we will explain the reasons if we are unable to fully comply with your request.

To the extent required by applicable laws, you may have the rights to withdraw your consent at any time when Huawei processes your personal data based on your consent. However, the withdrawal neither affects the legitimacy and effectiveness of our processing of your personal data based on your consent before the withdrawal is made nor affects any information processing based on another justification other than your consent.

If you believe the way we process your personal information fails to comply with applicable data protection laws, you may contact the statutory data protection authorities.

8. How to Change or Withdraw Your Authorization

We respect your rights. You can withdraw your consent to data processing or stop using our services at any time. As this Application does not involve account registration or personal account creation, you may withdraw your consent to or terminate the data processing by using the following methods:

The preceding methods are the complete paths for withdrawing your consent and terminating services. We are not responsible for providing the account deletion function, because this Application does not involve the account system. After you withdraw your consent, we will no longer process the related personal information. However, the withdrawal will not affect the processing of your personal information based on your previous authorization.

9. How This Application Processes Minors' Personal Information

We attach great importance to the protection of minors' personal information. If you are a minor under the age of 18, please read this Privacy Statement carefully with your parents or legal guardians, and use this product and service or provide information to us with the consent of your parents or legal guardians. Minors' personal information is sensitive.

If a minor provides their personal information to us without the consent of their parents or legal guardians, their parents or legal guardians can contact us to stop collecting, using, or disclosing their personal information by referring to "How to Contact Us" provided below.

In cases where minors' personal information is collected with the consent of their parents or legal guardians, we will only use or disclose the data as permitted by laws, with the explicit consent of their parents or legal guardians, or when necessary for minor protection.

If we accidentally collect the minors' personal information without verified prior consent from the minors' parents or legal guardians, we will delete the relevant personal data as soon as possible.

Huawei reserves the right to update or modify this Statement from time to time. We will release the latest Privacy Statement here in the event of any update. If we make major changes to the Statement, we may also send you change notifications through various channels, such as application notifications or individual notifications.
